What is a Venn diagram? Advantages and usage methods

What is a Venn diagram?

A Venn diagram is a visual representation of the ranges and relationships of multiple elements or sets, using circles and ellipses.

For example, when considering marketing strategies, it is necessary to decide on selling points. If we consider “product features” as set 1 and “customer needs” as set 2, the relationship between them can be represented in the diagram below.

As shown above, the overlapping area represents the common points between the two, making it the optimal selling point.

As demonstrated in the example above, a Venn diagram is a chart based on overlapping relationships. By clearly expressing common points and differences, it visually helps understand “what is the same and what is different.”

The strength of Venn diagrams lies in their ability to visualize commonalities. When relationships are made clear, it becomes easier to compare, analyze, and consider during brainstorming or discussions, and new perspectives can be generated. Therefore, they are not only used in business but also in educational settings to effectively illustrate knowledge points and facilitate understanding.

The basic components of a Venn diagram

Next, based on the above example, we will explain the basic components of a Venn diagram.

  • Set: First, the circles in the diagram represent sets of things or information. In the example of this article, the left circle represents "product features", and the right circle represents "customer needs".
  • Union: It refers to the set of all members in multiple sets. In the diagram, the overlapping part of the two circles is the union.
  • Intersection: The overlapping part of the circles shows the common elements of the sets, also known as the intersection.
  • Complement: The part that is included in one set but not in other sets is called the complement.

In the example of this article, the middle green part is the intersection, and the left pink part is the complement of “features” that do not belong to “requirements”.

How to Create a Venn Diagram in PowerPoint

When presenting information such as in a presentation, the most commonly used tool is PowerPoint. The Venn diagram shown in the previous example was also created using PowerPoint. Next, we will introduce how to directly create a Venn diagram in PowerPoint without switching software.

In addition, if you use PicDoc, you can generate a chart showing the relationships between entities with one click without complicated steps. Click here to try it now

Insert Venn diagram

1. First, create a new slide in PowerPoint. Select your preferred layout according to the style of the presentation.

2. Click 'SmartArt' in the 'Insert' tab, and a window for selecting the chart type will pop up.

3. In "Set Relationship", select the type of Venn diagram you need to insert. In PowerPoint, there are four types of Venn diagrams: basic, horizontal, inclusive, and radial. You can choose the style you like according to the information you want to present. In this demonstration, we choose the basic Venn diagram.

4. After clicking "OK", the Venn diagram will be inserted into the slide.

After clicking the icon, a text input window will appear on the left. Press the Enter or Backspace key to add or delete sets. The position of the circles will be automatically adjusted (up to 7 can be added in PowerPoint). After filling in the text, the basic Venn diagram can be completed.

Edit the style, color, etc.

Method 1: Modify through the "SmartArt Tools" tab

After selecting the chart, you can change the preset chart color, style, etc. through the "SmartArt Design" tab. Click on the circle to adjust its size.

However, if you need to change the color of the circle or the common part separately, more steps are required.

Method 2: Customize through "Shape Conversion"

① Select the created Venn diagram, click "Convert" → "Convert to Shape".

② Select the Venn diagram again, click the "Shape Format" tab, and then click "Group" → "Ungroup".

③ Select multiple circles and choose "Crop" in the "Insert Shapes" tab.

In this way, you can select only the overlapping or different parts of the Venn diagram and change the color by filling it. In addition, adding text explanations to the Venn diagram can further enhance its persuasiveness.

By creating a Venn diagram through the above steps, the relationships between sets can be clearly distinguished, which is helpful for accurate analysis and strategic formulation.
